Many of your contacts prefer WhatsApp. The platform helps you manage these conversations by tracking your WhatsApp messages alongside email and SMS—even though the messages actually go through your WhatsApp app.

How WhatsApp Works Here

Unlike email and SMS which send directly, WhatsApp has a different flow:

  1. Compose your message in the platform
  2. Send it through your actual WhatsApp app
  3. Import their replies back into the platform

This keeps everything in one place while working within WhatsApp's messaging system.

Sending WhatsApp Messages

Writing Your Message

Open a contact and click the WhatsApp tab. Write your message in the composer just like you would for email or SMS. You can use AI drafting to help write it.

Sending It

When you click Send:

  1. WhatsApp opens in a new tab (or your phone's WhatsApp app)
  2. Your message is ready to paste and send
  3. Send it in WhatsApp, then come back to the platform

Confirming You Sent It

Back in the platform, you'll see two buttons:

  • "I sent it" — Click this to mark the message as sent
  • "I didn't send it" — Click this if you changed your mind

This keeps your records accurate.

Importing Replies

Since WhatsApp messages don't come directly into the platform, you'll need to import them. This is important—without importing, the AI can't see the full conversation and won't give you good suggestions.

When to Import

A green prompt appears when you're waiting for a reply: "Did [Contact] reply?"

You have two options:

  • Check WhatsApp — Opens WhatsApp so you can see if they responded
  • Import Messages — Brings their messages into the platform

How to Import

Option 1: Text Import (Easiest)

  1. In WhatsApp, tap the three dots → Export chatWithout media
  2. Copy the exported text
  3. Paste it into the import box in the platform
  4. Click Continue

Option 2: Screenshot Import (Most Accurate)

  1. Take screenshots of your WhatsApp conversation
  2. Upload them to the import modal (drag and drop works)
  3. The AI reads the screenshots and extracts the messages
  4. Click Continue

Review Before Importing

After processing, you'll see:

  • How many new messages will be imported
  • How many are duplicates (already in the system)
  • A preview of each message

You can adjust things before importing:

  • Swap speakers if "You" and "Contact" got mixed up
  • Fix timestamps if they're off
  • Delete messages you don't want to import
  • Reorder messages if they're out of sequence

When everything looks right, click Import.

Make Importing a Habit

The more up-to-date your WhatsApp history, the better the AI can help you:

  • Import after meaningful exchanges
  • Always import before asking for a draft or follow-up suggestion
  • Check for new messages daily

Screenshot Tips

If you're using screenshot import:

  • Capture complete messages (don't cut off text)
  • Include the timestamps visible in WhatsApp
  • Take screenshots in order from oldest to newest
  • Make sure everything is readable

Text Export Tips

If you're using text export:

  • WhatsApp's "Export Chat" feature gives you clean text
  • Choose "Without media" to keep it simple
  • For long conversations, you can export just the recent portion

Common Questions

"Why can't messages send directly like email?"

WhatsApp doesn't allow third-party apps to send messages directly. This workflow lets you keep organized records while using WhatsApp normally.

"What if the speaker got assigned wrong?"

Use "Swap Speaker" on individual messages, or "Swap All Speakers" if everything is flipped. This happens sometimes when the AI can't tell who's who.

"The timestamps seem off."

Set the reference date/time before importing, or use "Adjust All Dates" afterward to shift everything by a fixed amount.

"I'm seeing duplicate warnings."

That's the system recognizing messages you've already imported. They're shown so you can verify, but won't be imported twice.
