Master the unified messaging interface. Compose and send professional messages across email and SMS with attachments and voice messages.
Sending Messages
Whether you're following up with a prospect or nurturing a long-term relationship, the messaging system makes it easy to reach people through email or SMS—all from the same interface.
Getting Started
Open any contact from your CRM and you'll see the message composer at the bottom of the screen. It works the same whether you're in the quick-view drawer or the full contact page.
Switch between channels using the tabs above the conversation:
- Email for longer, more detailed communications
- SMS for quick, time-sensitive messages
- WhatsApp for contacts who prefer that channel
If you haven't messaged someone on a particular channel yet, click the + button to start a new conversation there.
Writing and Sending Messages
Type your message in the text area and hit Send (or press Cmd/Ctrl + Enter for a quick send). That's it—your message is on its way.
Email Tips
Email gives you room to be thorough. A few things to keep in mind:
- Keep paragraphs short and scannable
- Include a clear next step when appropriate ("Let me know if Tuesday works for a call")
- URLs you include will automatically become clickable links
SMS Tips
Text messages work best when they're brief and to the point:
- 160 characters is one SMS segment. Go longer and it splits into multiple messages (which costs more)
- The composer shows your character count so you can keep an eye on length
- Always identify yourself—"Hi Sarah, it's [Your Name] from..."
- Lead with the most important information
Adding Files and Voice Messages
Attachments
Click the 📎 paperclip icon to attach files. You can send:
- Images — Photos, screenshots, graphics (JPG, PNG, GIF)
- Documents — PDFs, Word docs, spreadsheets
- Videos — Short clips (MP4, MOV)
- Audio — MP3s, voice recordings
Keep in mind: For SMS/MMS, attachments need to be under 1.2 MB (images get compressed automatically). Email supports larger files up to 100 MB.
Voice Messages
Sometimes it's easier to say it than type it. Click the 🎤 microphone icon to record:
On desktop: Click to start, click again to stop. Preview before sending.
On mobile: Press and hold to record, release to stop. Slide left to cancel.
Voice messages can be up to 2 minutes for SMS or 5 minutes for email.
Tracking Your Messages
After you send, watch for status indicators:

| ⚠️ Red warning | Failed to send |
If a message fails, a retry button appears. Check that the contact's email or phone is correct, then try again.
AI-Assisted Writing
You don't have to start from scratch. The platform can help you write messages:
Generate a Draft
Start typing (at least 10 characters) and a Draft button appears. Click it and AI will generate a complete message based on your conversation context.
Quick Actions
Click the Quick Actions dropdown for pre-built scenarios:
- Welcome — Introduce yourself to a new contact
- Response — Reply to their latest message
- Follow-up — Check in after some time has passed
- Book Call — Suggest scheduling a conversation
After the AI generates a draft, you can edit it, rewrite it with a different tone, or use it as-is.
Scheduling Messages
Not the right time to send? Click the ⏰ clock icon next to the send button to schedule for later. Pick a preset time or choose your own.
Scheduled messages appear in your queue so you can review, edit, or cancel them before they go out.
Making Your Messages Count
Be Personal
Use their name. Reference something specific from your previous conversation. People can tell when a message was written just for them versus copied and pasted.
Be Purposeful
Every message should have a reason. Are you providing information? Asking a question? Suggesting next steps? Make it clear what you're hoping for.
Be Respectful of Time
- For email: Get to the point quickly, even if you're being friendly
- For SMS: Keep it short—this isn't the channel for lengthy explanations
- For both: Think about timing—avoid late nights and early mornings
Be Responsive
When someone reaches out, try to reply within 24 hours. Quick responses build trust and show you're engaged.
Troubleshooting
"Message failed to send"
- Double-check the contact's email or phone number
- Make sure your account is in good standing
- Try again in a few minutes
"Channel not available"
- The contact might not have that contact method on file
- Add their missing email or phone in their profile
"Attachment too large"
- Compress images before uploading
- For large files, consider sharing a link instead
- Remember: MMS has a 1.2 MB limit
